Privacy policy
This policy explains what personal information I collect, why, where it is stored and how you can access it, correct it or make a complaint.

Who I am
Halsted Digital is run by me, Rhett Simons, as a sole trader (ABN 28 336 918 149). In this policy, "I", "me" and "Halsted Digital" all mean Rhett Simons trading as Halsted Digital.
Contact: hello@halsteddigital.com.au
I handle personal information in line with the Australian Privacy Principles in the Privacy Act 1988 (Cth), as if they apply to my business.
What this policy covers
This policy covers personal information I collect through the forms on halsteddigital.com.au (the free website report form and the contact form), and through emails sent to hello@halsteddigital.com.au.
What I collect
Free website report form. When you ask for a free website report, I collect:
- Required: your email address, your practice's website address, and your tick in the "Consent to be contacted" box.
- Optional: whether you ticked the separate "Follow-up and updates" box.
- Recorded with each request: the exact wording of each tickbox the form showed you.
- The date and time you sent the form.
Contact form. I collect your email address, and any of these you choose to give: your name, role, practice name, specialty, current website, what you're interested in and your message. I also collect the date and time you sent the form.
Emails. If you email hello@halsteddigital.com.au, I collect your email address, your name if you include it, and anything you include in your message.
I also keep any report I prepare for you, and a record of the emails I send you.
Please don't include any patient or health information. If any is sent to me, I delete it and don't keep it.
Your consent
The free website report form has two tickboxes, and I record which boxes you ticked, together with the exact wording of each box the form showed you. The required "Consent to be contacted" box covers only emailing you your free report. The optional "Follow-up and updates" box is unticked by default. If you tick it, I may send you one follow-up email about your report within 3 months of sending it, and occasional emails about websites for medical practices, and you can unsubscribe at any time. If you don't tick it, you get your report and nothing else.
Why I collect it
I use your information to:
- reply to your enquiry or form submission
- prepare your free website report and send it to you by email
- follow up once about your report, within 3 months of sending it, and send you updates, but only if you ticked the "Follow-up and updates" box
- keep a record of your request and any request to stop contact.
Without your email and website address I can't prepare or send your report.
I don't sell your information or share it with anyone for their marketing.
Stopping emails
Every email I send includes a way to unsubscribe. If you unsubscribe or reply "stop", I will stop all Halsted Digital emails to you, including updates, within 5 working days. I keep a note of your email address and the date you asked, so I don't contact you again by mistake.
Where your information is stored
The forms on this website send your answers to HubSpot (HubSpot, Inc.), which stores them for me in my HubSpot account, together with my notes about your request. HubSpot stores this information in Australia (Sydney). HubSpot and its service providers may also process it in other countries, including the United States.
My email account, hello@halsteddigital.com.au, runs on Google Workspace (Google). Emails you send to hello@halsteddigital.com.au, and the emails I send you, including any report, are stored by Google, including in the United States.
This means your information is disclosed to service providers overseas, including in the United States. HubSpot and Google handle it under their own terms and privacy policies.
Cookies
When you send a form, your browser sends your answers straight to HubSpot. This website doesn't use HubSpot's tracking code or any HubSpot script, so HubSpot doesn't set cookies in your browser when you visit this website or use its forms.
How I protect it
I take reasonable steps to protect your information from misuse, loss and unauthorised access. Only I have a login to the HubSpot account that holds your form answers. No AI tool reads your name, email or other answers. HubSpot and Google store your information for me as my service providers, as described above.
How long I keep it
I keep your request details, form answers, any report and related emails for 2 years after our last contact, then delete them. If you ask me to delete your information sooner, I will, unless I need to keep a record that you asked not to be contacted.
Accessing or correcting your information
You can ask to see the personal information I hold about you, or ask me to correct it, by emailing hello@halsteddigital.com.au. I will need to confirm who you are first. There is no charge. I will respond within a reasonable time, usually within 30 days. If I can't give you access or make a correction, I'll tell you why.
Making a complaint
If you think I've mishandled your personal information, please email hello@halsteddigital.com.au and tell me what happened. I'll look into it and reply in writing within 30 days.
If you're not happy with my response, or I haven't replied within 30 days, you can complain to the Office of the Australian Information Commissioner (OAIC):
- Website: oaic.gov.au (complaints must be made in writing, using the OAIC's online form)
- Phone: 1300 363 992
- Email: oaicintake@oaic.gov.au
- Post: GPO Box 5288, Sydney NSW 2001

I may update this policy from time to time. The latest version will always be at halsteddigital.com.au/privacy, with the date it was last updated.
